## Airport Transfers in Cardiff: what you are booking

### What a group airport transfer is
A chauffeur-driven vehicle collecting your group from a home address, an office or a hotel and delivering it to the terminal at Cardiff or Bristol airport, with the collection time worked backwards from the flight rather than forwards from when people feel like leaving.

Return transfers work the same way in reverse: we take the flight number and landing time, and the vehicle meets the group after they clear the terminal rather than at an optimistic guess.

### Who books it
Hen and stag groups travelling abroad, families going on holiday together, work teams heading to conferences, sports and club groups, and wedding parties travelling out after the day. It is also booked for the return leg alone, where a group has flown out separately but wants to come home together.

Any group above about six people is usually better served by one vehicle than by two or three cars, purely because of luggage.

### When it is needed
Early-morning departures are the most common, the flights that leave at six and need a collection at three. Those are precisely the times taxis are least reliable and most expensive, and precisely the times when a group most needs one vehicle and one pick-up.

The other frequent case is the group that would otherwise take two cars to long-stay parking and pay for a fortnight of it.

### Why a booked chauffeur rather than parking or taxis
Long-stay parking for two cars over a fortnight is a real cost, plus a shuttle bus at both ends with all the luggage. Taxis for a group of sixteen mean four bookings at four in the morning, each of which can cancel independently.

One vehicle, one driver and one confirmed collection time removes both problems. The group leaves together, arrives at the terminal together, and comes home to their own front doors rather than to a car park.

## The one journey where being late has a hard cost
Every other booking we take can absorb a delay. A flight cannot. Check-in closes, the gate closes, and a missed departure means new tickets at short notice, possibly lost accommodation, and a holiday that starts badly for everybody.

The commonest cause is not traffic, it is a collection time set by wishful thinking. A group that books a car for the latest possible moment has no absorption for a puncture, a closure on the M4, or two people who are not ready when the vehicle arrives.

The second is the four-in-the-morning taxi that does not come. Cancellations at that hour are hardest to recover from because there is no supply behind them, and a group of sixteen needs four vehicles to appear at once.

- Booking the outbound transfer and leaving the return to whatever is at the rank on landing.
- Forgetting that the M4 around Newport and the Brynglas tunnels can add half an hour at peak times.
- Not giving the flight number, so a delayed landing cannot be tracked.

## How a booking runs, from first call to the front door
Step 1
### Date check
Tell us the date, pick-up postcode, group size and rough timings. We check the vehicle against the diary and tell you straight away whether it is free, rather than leaving you waiting on an email.

### Journey plan
We map the run: where you are collected, which stops you want, how long you need the vehicle and where the night ends. Anything that affects timing (road closures, match days, venue drop-off restrictions) is raised now, not on the day.

Step 3
### Written confirmation
You receive the booking in writing with the vehicle, date, pick-up time and return arrangement set out, so everyone in the group can be told where to stand and when.

Step 4
### Pre-hire preparation
The vehicle is cleaned and checked before it leaves us, and the driver is briefed on your route and your stops so nobody is reading a postcode at the kerb.

Step 5
### On the day
Your chauffeur aims to arrive ahead of the booked time where traffic allows, so there is room for photographs before you set off. You travel door to door and are returned to the agreed address at the end.

### Cardiff Airport and Bristol Airport: what differs
Cardiff Airport at Rhoose is the closer option for most of our customers and the simpler run: a straightforward drive from the city and the Vale, with a compact terminal and a short walk from the drop-off. Journey times are predictable outside peak periods, which makes collection times easier to set tightly.

Bristol Airport is the busier and less predictable of the two. The route crosses the Severn and runs through the A38 approach, which can be slow at peak times, and the terminal frontage is heavily managed. Both are routine for us, they simply need different amounts of margin, and that margin is built into the plan when you book rather than absorbed by the driver on the day.

### Working out the collection time properly
The correct sequence is: check-in deadline, minus the time you want at the terminal before it, minus the journey time, minus a margin for traffic, minus the loading time for a group and its luggage. The last two are the ones that get skipped, and they are the ones that decide whether the transfer works.

Loading sixteen people and sixteen cases is a ten-minute job at best and longer in the dark outside a house on a narrow street. We allow for it; it is worth you allowing for it too when you tell everybody what time to be ready.

### Luggage, group size and vehicle choice
Luggage volume, not passenger count, usually decides the vehicle. Sixteen people going on a beach holiday with a large case each is a different problem from sixteen people going to a stag weekend with hand baggage. Tell us the number of cases as well as the number of people when you enquire.

Where the volume is too much for one vehicle, the answer is a second vehicle rather than luggage on laps. A party bus and a limousine running together to the same terminal at the same time is a common solution and keeps the group intact.

### Return transfers and flight tracking
Return legs need the flight number, not just the landing time. Flights move, and the useful information is the actual arrival rather than the schedule printed in March. With the flight number we can adjust the meeting time to the landing.

Also worth agreeing in advance: where you will meet. Terminal frontages at both airports are actively managed and waiting is restricted, so a named meeting point agreed at the booking stage is far quicker than sixteen people and a driver phoning each other in an arrivals hall.
